B2B Finance Tools: The Real Cost Behind "Free" — 2026

Corporate cards and spend software increasingly cost $0/user — but "free" software still has to make money. Understanding how (interchange, cashback splits, per-transaction fees) tells you the real economics. A sourced look at 15 B2B finance tools.

A free corporate card isn't charity: the issuer earns interchange on your spend and shares a slice back as cashback. A free accounting tool monetizes payments and payroll. This page maps how each B2B finance tool actually makes its money in 2026 — and where the per-transaction fees hide.

Key findings

  1. "Free corporate card" means interchange-funded, not free. Ramp, BILL Spend & Expense and (mostly) Brex charge $0/user because they earn interchange on your spend and return part as cashback. The economics are real and usually good for you — but understand you're the spend that funds it, and cashback (Ramp ~0–1.5%) varies by customer.
  2. Expensify shows the card-subsidy model explicitly. Its Control plan drops from ~$18 to ~$9/member when the Expensify Card covers ≥50% of US spend — software priced down because card interchange makes up the difference. Adopt the card and the tool gets cheaper; don't, and you pay full freight.
  3. Free accounting monetizes the money movement. Wave's software is free but payments run ~2.9% + $0.60 and payroll ~$40 + $6/employee; Zoho Books' free tier funnels you into the paid Zoho suite. The accounting is the loss-leader; payments/payroll are the business.
  4. QuickBooks' compounding price hikes are the quiet cost. Reported ~12–17% annual increases since 2023 compound fast — a reason Xero's flat, unlimited-user pricing is the value contrast for growing teams.
  5. Per-transaction fees are where "free/low" bill-pay adds up. Melio (2.9% card, ~$0.50/extra ACH), FreshBooks (2.9% + $0.30, 1% ACH) and BILL all layer transaction fees on top of the headline. For high payment volume, the percentage fee dwarfs any subscription line.

Methodology

15 B2B finance tools (corporate cards/spend, accounting, bill pay, payroll/EOR) compared on headline price and the actual monetization mechanism: interchange, cashback splits, per-transaction payment fees, per-employee charges, or subscription. Figures are as published or reported in a sourced 2026 dataset; some (Rippling) are estimates. This is a business-model and fee map, not a feature ranking, and is not financial advice.
